Save time with professional defect management – 123quality makes it possible

Recording, documenting and tracking defects was a time-consuming undertaking for contractor Norbert Kees from Fuchstal in Upper Bavaria, especially when the order situation was booming. Previously, he had to painstakingly gather all the necessary information and photos from various sources, initiate the transfer of data to the subcontractors and laboriously track the rectification of defects. This cost Kees and his site manager time and nerves – and is now a thing of the past thanks to the newly introduced 123quality app.

The functionalities of 123quality are now available in the module Quality

Dipl.-Ing. Norbert Kees is the 3rd generation to manage the construction company founded by his grandfather in 1935. Today, Amberg Bau GmbH & Co. KG with its own planning department employs 40 people and is active in residential construction, especially in the property development business. In addition, Amberg realizes projects in industrial construction and carries out smaller civil engineering works. Conversions and refurbishments are also part of the portfolio of the medium-sized company, whose area of operation extends beyond Fuchstal to the regions of Landsberg/Lech, Ostallgäu, Ammersee, Starnberg and as far as Munich.

I was thrilled with the app as it covers exactly what a construction company needs.

App covers requirement of construction companies

Years ago, Norbert Kees got to know the 123onsite software for mobile Time tracking and project documentation at a conference of senior foremen. The construction engineer then equipped his employees with smartphones on which the app was installed. 123onsite allows processes on the construction site such as the employees’ times, the construction diary including site photos, material and equipment to be recorded on the move and the data to be transferred directly to the office.

123quality integrated into mobile time tracking and project documentation software

When the software house 123onsite from Lohne launched another app in May 2019, this time for task and defect management, it was clear to the contractor that he also wanted to work with it. The app is integrated into the solution for 123onsite users and only needs to be activated. The advantages: the master data only has to be created once, is maintained centrally and the users – in this case Norbert Kees and his site manager – can access all data such as daily construction reports, photos, defects, etc.

Standardized process

But even with the 123quality app as a stand-alone solution, the user can quickly photograph a
photograph a defect
The user can quickly take a picture of a defect, tell the cell phone what needs to be done, locate the tasks on the digital construction plan, and assign the activities to the responsible employee or subcontractor with just a few taps of the finger. Various types of tickets such as tasks, defects, memos, obstructions, performance determinations, supplements, remaining work and many more are quickly created. At the same time, the entire process of
digital defect recording
At the same time, the entire process of digital defect recording, tracking, and correction is standardized, clearly documented, and leads to significantly improved quality in execution. All the information is in one place and does not need to be compiled. This can also be of considerable advantage in a legal dispute.

Relief for documentation

At Amberg, the app is used on the one hand for the
logging the condition of the building
used. With the condition assessment, the construction company documents for both the TÜV and the Kreditanstalt für Wiederaufbau which components have been installed. On the other hand, the medium-sized company uses the app to
defect recording and tracking
. If there is a defect report,
the site manager photographs the defect
If there is a defect report, the site manager takes a photo of the defect, locates it in the plan and sends the responsible subcontractor a defect report on his smartphone, including photos and a deadline for rectification. Once the contractor has repaired the defect, Amberg receives a photo of it.

More Information

Norbert Kees has stored all the processes on his computer desktop and can see at a glance which are completed and which are still open. As all photos are assigned to the construction site and the corresponding component, the tedious search for information is no longer necessary and the site manager needs significantly less time for the process of recording and tracking defects. Since the construction company works with many subcontractors in its activities as a developer, the app relieves the burden enormously when it comes to documenting and tracking processes.

Our site manager has the process well under control thanks to 123quality and the subcontractors also save time thanks to this approach.

Advantageously, Kees sees the way of working especially in times like Corona. “Normally, you make an appointment at the construction site to discuss the defect. By locating the photos on the plan, the subcontractor knows exactly where he needs to touch up and we no longer have to meet in person.“ In this way, digital collusion protects against contagion, ensures efficient, smooth processing and the desired quality of execution with enormous time savings.
